How to Configure Notifications

Decide which alerts your business sends, which channels they go through, and which teammates receive them — so the right person hears about a new lead fast without burying everyone in noise.

What You Can Configure

Notification settings split into two layers: business-wide defaults (which alert types are on and where they go) and per-user preferences (which teammate hears about what). This is for owners who want lead alerts to reach the right people the moment Kai captures them, plus account-level warnings about usage and billing.

  • New-lead and lead-update notifications
  • Email, SMS, and in-app notification channels

Update Business Defaults

  1. Go to Dashboard > Settings > Notifications.
  2. Turn lead, usage, billing, email, SMS, or in-app alerts on or off to match how your team likes to be reached.
  3. Enter the notification email or phone number for any channel that needs a destination.
  4. Save the settings.

Add Notification Users

  1. Open the user notification area on the Notifications page.
  2. Select a team member from your business user list.
  3. Add the user to the notification recipients.
  4. Set their channel preferences and their lead-score threshold so they only hear about leads above the score they care about.
  5. Save the page.
Alert quality: Use lead-score thresholds to keep high-priority alerts fast without flooding the whole team with every minor update.

FAQ & Troubleshooting

I am not receiving any lead alerts.

Confirm lead notifications are turned on in the business defaults, that the channel you expect (email or SMS) has a valid destination entered, and that your user is added to recipients with a lead-score threshold low enough to include the leads coming in.

Why am I getting a usage alert?

Usage alerts fire as you approach your plan's included minutes — at 75%, 90%, and 100%. They are a heads-up, not an error. Review your usage in Billing to see where you stand.

A teammate gets too many notifications.

Raise their lead-score threshold or turn off channels they do not need in their per-user preferences. Business defaults set the maximum; each user can be narrowed from there.
